Employee serves as an Advanced Medical Support Assistant in the department of Surgical Services at the Veterans Affairs (VA) Medical Center level-two hospital in White River Junction, VT. The Advanced MSA, in addition to assigned administrative duties, serves as the departmental floater providing desk coverage during times of MSA excused or unplanned absence. The Advanced MSA also provides administrative/clerical support to the service Administrative Officer and to the Service Chief, as needed, during excused or unplanned absences of the service Administrative Officer. The Advanced MSA performs multiple key administrative functions to include but not limited to (1) making authorized VA purchase card expenditures not to exceed $3000 for a variety of non-stock supplies and equipment, (2) utilizing the electronic acquisition process to initiate purchase order requests for non-stock supplies and equipment exceeding $3000 or for recurring medical supply items, (3) serves as the departmental timekeeper responsible for the accurate and timely entry of timecard information in accordance with VA policy and directives governing Payroll administration, (4) functions as the service ADPAC and submits ECARs (Electronic Computer Access Requests) for physicians, nurses, staff in need of computer access, (5) order supplies for clinics and/or services from Central Stores utilizing Material Managements automated order processing system, (6) submits EWOs (Electronic Work Orders) to FMS for routine facility repairs and/or work orders as instructed by clinical providers, (7) updates service intranet site, as required, as to maintain surgical specialty on-call schedules and/or surgical policies, (8) on occasion serves as the departmental designee representing the service Administrative Officer at facility committee meetings and/or ad hoc meetings / on matters related to appointment management, data evaluation, time keeping/payroll, medical/ equipment and supplies, space, and facilities.   The Advanced MSA coordinates the scheduling of patient appointments, including interpreting and verifying provider, orders in accordance with VHA national scheduling guidelines done by MSAs within the service. The Advanced MSA assists in training of new MSAs within the department and serves as the service liaison with the Scheduling Office, Business Office, Quality Improvement, and Compliance Office with respect to coordinating training relative to policy and/or process changes involving Appointment Management. The Advanced MSA ensures the equal distribution of workload among MSAs with respect to the scheduling of consults, and rescheduling of appointments due to clinic cancellation.

Work Schedule:  8:00 am to 4:30 pm

Experience:

One year of experience equivalent to the next lower level.

3. Advanced knowledge of the technical health care process as it relates to access to care.

4. Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

5. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
